Who we are
SmoveOS Limited ("SmoveOS", "we", "us") makes software for UK removals companies. We are registered in England and Wales, company number [COMPANY NUMBER], with our registered office at [REGISTERED OFFICE ADDRESS]. You can contact us about anything in this policy at hello@smoveos.com.
Our two roles
For removals firms that use SmoveOS, we are the data controller for their account details: the names, email addresses and phone numbers of the firm's staff and owners.
For the customers of those firms, the removals firm you're moving with is the data controller. We process your details on the firm's behalf, under a contract with them, to run your quote, booking and move. If you have questions about how a firm uses your data, you can ask the firm directly or contact us and we'll help.
What we collect
- Your name, email address, mobile number and the addresses you're moving from and to.
- Details of your move: dates, the items being moved, photos or video you choose to upload, and your quote.
- Payment records. Card payments are handled by Stripe; we never see or store your full card number.
- For removals firms: account and billing details for the people who use SmoveOS.
Text messages
We send text messages on behalf of removals firms to their customers, about moves those customers have asked for. These are service messages only: quotes, booking confirmations, reminders, payment requests, and a request for a review after the move.
We do not send marketing texts. We do not sell, rent or share mobile numbers, or consent to receive texts, with any third party or affiliate for their marketing or promotional purposes.
Review request texts include an opt-out link. To stop texts about your move at any time, use that link, tell your removals firm, or email hello@smoveos.com. Message frequency depends on your move, and your network's standard rates may apply.
Why we use your data
- To provide the service a removals firm has asked us to run for your move (performance of a contract).
- To run and bill our service for removals firms (performance of a contract).
- To keep records the law requires, such as accounting records (legal obligation).
- To keep the service secure and working properly (legitimate interests).
Who we share it with
Only the service providers we need to run SmoveOS, each under contract and only for that purpose: hosting and database providers, Twilio (to deliver text messages), an email delivery provider, and Stripe (to take payments). Some of these providers process data outside the UK; where they do, we rely on safeguards approved under UK data protection law. We will share data if the law requires it. We never sell personal data.
How long we keep it
We keep move and booking records for as long as the removals firm needs them to provide its service and meet its legal obligations. Financial records are kept for six years, as UK law requires. When data is no longer needed, we delete it.
Your rights
Under UK data protection law you can ask to see the personal data held about you, have it corrected or deleted, restrict or object to how it's used, and receive a copy to take elsewhere. Email hello@smoveos.com and we'll respond within one month.
If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk. We'd appreciate the chance to put it right first.
Changes to this policy
If we change this policy, we'll update the date at the top of this page.
